Account Coordinator

As coordinator, you work closely with the account service team and the traffic team to manage projects for the agency and for clients. With your excellent organizational skills, you develop plans, build schedules, track progress, and shepherd projects through all phases of production to final delivery.

The account coordinator is the liaison between all departments in the agency, is an effective problem-solver on a day-to-day basis, and has the ability to work efficiently in a fast-paced environment.

Reports to the Director of Brand Management.

What You'll Do...

  • Oversee the daily management of assigned projects

  • Works closely with Brand Strategists and Brand Managers to understand the project needs

  • Has a thorough understanding of the planning and production processes

  • Proactively gathers the necessary information to plan, schedule and implement each project

  • Manages workflow, key milestones, and deadlines, working closely with Traffic and Team Managers

  • Opens new projects in Workamajig (project management software), and builds out efficient and effective schedules

  • Maintains the master schedules in Workamajig for all assigned projects

  • Provides timely issuance of all documentation: meeting conference reports, project details and status updates, timelines, and regular budget health reports

  • Works with the Traffic team to manage resources, to ensure client projects are on time and on budget

  • Supports Brand Managers with monthly billing, ongoing accounting status reports and reconciliation of all projects

  • Schedules internal and client meetings as needed

  • Secures and coordinates necessary assets from client

  • Maintains working knowledge of pertinent software and peripherals needed to complete work

  • Collaborates with the Traffic Manager to assign, monitor, and load-balance production tasks on assigned projects

  • Helps secure estimates from vendors and freelancers, in coordination with Production Manager

  • Sets up contractors and issues POs for assigned projects via Workamajig, coordinating with Production Manager and Office Manager

  • A team player and a thriving member of the BrandExtract culture

What You're Good At...

    Strong written and verbal communication skills (especially written)
  • Ability to think quickly, pivot and prioritize requests
  • Basic knowledge of Digital Marketing channels and tactics (social media, SEO/PPC, email marketing, content marketing, etc.)
  • Highly motivated and a self-starter

Your Skills and Experience...

  • Project Management experience (required)
  • Experience with project management software (strongly preferred)
  • Experience working in Digital Marketing and/or an agency (preferred)
  • Proficient at Google-based platforms (Sheets, Docs, etc.)
  • BS in Marketing, Communications, Advertising, Project Management or related field a plus
  • Experience with Workamajig a plus

Traffic Manager

The Traffic Manager ensures the efficient flow of projects within the agency, coordinating resources, timelines, and deliverables across departments. Acting as the central hub for operations, this role supports cross-functional teams to ensure work is completed on time, within scope, and aligned with quality standards while optimizing agency productivity and maintaining client satisfaction.

What you do...

  • Manage project schedules, ensuring deadlines and milestones are met while monitoring progress and adjusting workflows to address bottlenecks or resource challenges.

  • Allocate resources effectively, balancing workloads across creative, strategy, account, and production teams to optimize productivity.

  • Act as a liaison between departments, ensuring clear communication of project requirements, deliverables, and priorities across all teams.

  • Establish and maintain agency workflows, ensuring adherence to established processes while identifying inefficiencies and recommending improvements.

  • Maintain detailed records of project timelines, resources, and budgets, providing regular status reports to internal teams and management.

  • Ensure deliverables meet quality standards before final submission, monitoring adherence to project briefs and brand guidelines.

  • Conduct daily check-ins with department leads to review project schedules and address updates or priority shifts.

  • Anticipate and resolve potential delays by reallocating resources or revising schedules to keep projects on track.

    Your Experience...
  • 3+ years of experience in traffic management, operations, or project management within an agency or production environment.

  • Demonstrated ability to manage multiple projects simultaneously while maintaining quality standards.

  • Proficiency in project management tools (e.g., Asana, Trello, Monday.com) and digital platforms.

  • Bachelor's degree in Marketing, Business Administration, or a related field.

  • Familiarity with agency workflows and creative processes is preferred.

  • Experience managing digital and integrated marketing campaigns is a plus.
